Position Overview & Specifications
We are seeking a Business Administrator to provide admin support to the Executive Group and HR transaction workload. Deputise for Administration Supervisor and cover reception.
The main requirements of the role will include:
Business Administration Duties
General administration to provide an effective service.- Organisation of travel/hotels for site personnel in accordance with the Company travel policy.
- Arrange meetings, book meeting rooms, and organise catering.
- Reception cover for other members of Admin as required.
- Deputise for the Admin Supervisor in her absence.
- Taxi/Courier bookings through approved companies.
- Administration of purchase orders via Microsoft Dynamics AX.
- Undertake such other duties as may be required from time to time.
Human Resources Duties
Responsible for the administration of all HR related activities e.g., pre-employment, benefits, probation, long service etc- Preparation and delivery of appropriate contractual documents regarding appointments, terminations, and employment variations.
- Maintaining and updating computerised and manual HR information systems and ensuring accurate recording of employment, personal, staffing establishment, and payroll information.
- Document all HR process and procedures and update SharePoint.
- Manage HR inbox.
- Administration of benefits.
- Update organisation charts.
- Organise employee inductions.
Qualifications:
- GCSE/NVQ with English and Maths
Knowledge
- Good working knowledge of IT packages such as Microsoft Office, PowerPoint, Excel, and AX.
- Good working knowledge of Microsoft Teams phone system.
Experience
- 1 year’s administration experience.
Skills
- Excellent telephone skills.
- Good oral and written communication skills.
- A good team player who is hardworking and reliable.
- Must observe confidentiality at all times.
- Capable of managing and updating HR systems excluding payroll
- Proficient in Microsoft products, Word, and Excel in particular, with a good understanding of social media and Internet proficiency
- People oriented with a high level of integrity and trust.
- The ability to manage competing and rapidly changing priorities is essential, as are strong IT skills and a dynamic and pragmatic approach to work.
