Position Overview & Specifications

About the role
We have an exciting opportunity for a motivated and extremely well-organised individual to join our world-leading mathematics department on a permanent, full time basis as Undergraduate Studies Officer.
Reporting to the Head of Academic Administration, you will play a leading role in managing support for all of the Mathematical Institute’s undergraduate activities, and act as trusted point of contact for providing expert advice and guidance on undergraduate matters to academics, students and members of professional services staff. Although the USO primarily manages support for undergraduate matters, there will also be some involvement in taught masters’ courses.
The Undergraduate Studies Officer is responsible for managing a breadth of undergraduate activities and, as such, there will be considerable variety in your day-to-day duties. Your responsibilities will include coordinating the timetables and lecture lists for approximately 10 taught course programmes; overseeing the administration of the undergraduate examinations process and the intercollegiate class scheme for mathematics; and servicing various committees related to undergraduate studies.
You will also line manage three members of staff and oversee their professional development, and work closely with colleagues, including the Associate Head of Department (Education), Academic Lead (Prelims and Part A), Academic Lead (Parts A and B) and the Faculty Teaching Advisor.
About you
We are looking for candidates who are able to provide strategic and operational advice to a number of academic and professional services colleagues, as well as guidance to undergraduate students. You must have excellent interpersonal skills, with an understanding of confidentiality, and be able to gain the confidence of a wide range of people. You will also have experience of staff management involving a diverse workforce, excellent IT skills, and the ability to manage and prioritise a complex portfolio of work to meet deadlines.
We proudly hold a departmental Athena SWAN Silver Award and an institutional Race Equality Charter Bronze Award, which guide our progress towards advancing racial and gender equality. As part of our strategic aim to improve staff equality and diversity, we would particularly welcome applications from BIPOC candidates, who are currently under-represented in positions of this type within the department.
Application Process
If you would like to discuss the role and the department in more detail, please contact Charlotte Turner-Smith, Head of Academic Administration, via email: charlotte.turner-smith@maths.ox.ac.uk. Informal enquiries regarding the application process should be directed to the Recruitment Coordinator (email: vacancies@maths.ox.ac.uk), quoting vacancy reference 163619.
Applicants should read the job description document before writing their application. You will be required to upload a supporting statement, setting out how you meet the selection criteria, a curriculum vitae and the names and contact details of two referees as part of your online application.

Only applications received before 12:00 noon UK time on Friday 17th March 2023 can be considered.
