We are currently recruiting for a full-time HR Assistant for a Headington based Oxford University department. Pay rate will be £13.44 p/h, working hours 30-36.5 hrs p/w.
Duties include:
  • Managing HR shared email inbox and escalating queries to Line Manager or other team

members as appropriate.

  • Provide administrative support for the HR team
  • Implement University HR policies and procedures, providing data by running ad hoc

reports from appropriate HR databases (e.g. PeopleXD and Teamseer), and carrying

out HR data checks and validations, updating monthly cost allocations records and

managing/tracking monthly university card extensions

  • Record staff sickness leave, annual leave, end of probationary periods and annual PDR

dates and highlight any issues

  • Manage the administration of recruitment exercises which will include; editing job

advertisements and job descriptions to ensure that they comply with University guidance

and best practice, placing advertisements, gathering information for visa applications

where necessary, generating letters to applicants, and preparing short listing packs,

setting up interview rooms, administering pre-interview tests, sitting on interview panels

and liaising on site with panels as and when required

  • Conduct new starter checks, prepare standard letters of appointment, contracts, and

visitor agreements

  • Plan and carry out induction sessions for new staff
  • Completion of all monthly payroll changes adhering to the University’s deadlines,

ensuring that the correct funds are utilised


Person specification
  • GCSE (grade A-C) level English and Maths, or equivalent
  • Demonstrable ability to prioritise workload and produce accurate, detailed work within

deadlines

  • Ability to clearly and accurately communicate HR processes and procedures verbally

and in writing

  • Experience of administering recruitment and HR
  • Experience of providing a high level of customer service with accuracy and attention to

detail

  • Ability to work independently or as part of a team
  • Experience of relevant administrative work including ability to use Microsoft Office and

email

  • Awareness of Data protection and information security guidelines, and appropriate

discretion when dealing with confidential information

  • Willingness to undertake professional development and training
  • Demonstrable interpersonal skills
