Position Overview & Specifications
- Manage the weekly functioning and 360 process of the Investment Committee and Real Estate Debt Investment Committees (the “Committees”) by scheduling meetings and all attendees, including ad hoc meetings, as required
- Completion of pre-meeting procedures including the preparation and distribution of meeting agendas/materials, collation and provision of Committee papers, together with ensuring meeting outcomes, action points and minutes are circulated post-meeting
- Maintaining the Committees’ records in a timely manner so that key oversight and management metrics are readily available that meet the requirements of the Committees
- Filing and recording action points that are cleared post meeting
- Keeping the Committee Portal up to date, this including (but not limited to): the posting of Committee documentation, schedules, and forms & templates
- Act as a key point of contact to any Non-Executive Directors and Chairman of the Boards for all enquiries relating to dates, meetings, administration and papers
- Diary management for Legal and Company Secretary teams as required
- Organisation of travel arrangements including meetings, itineraries and visas as required
- Management of expenses for the teams including processing expense claims in line with Company Policy
- Overseeing and arranging signing of legal Fund documents
- Update or create presentations, proof reading and ensuring the grammar is correct, often being the final check before documents are signed off
- Management of invoices for the team, liaising with Accounts Payable to ensure prompt payment
- Working closely with other assistants within the business function, ensuring that all areas have secretarial support at all times and covering, where appropriate
- Ad hoc project work Support the other Administrative Assistants when necessary with off-sites & seminars
- Competent using Outlook, Word, PowerPoint, Excel, etc.
