Essential Functions and Job Duties:

Accounts Payable duties:

• Fully responsible for Accounts Payable cycle for multiple entities.
• Manage and maintain the connection with vendors.
• Ensure invoices are verified and timely processed, including coding each with property identification, expense account number, etc. while adhering to procedures.
• Reconcile AP balance and control AP aging in payment term.
• Maintain and Verify 1099 vendors and process W-9/1099 at the year end.
• Ensure all A/P documents and payments are processed, scanned, and stored in accordance with the company policy.
• Assist with general ledger accounting.

Payroll duties:

Fully responsible for Payroll cycle for two entities.

• Review and audit payroll data Collaborate with HR, site Managers and Employees to verify and correct payroll input data.
• Ensure payroll procedures are administered in compliance with governmental regulations including IRS regulations and Company policy. Provide guidance and assistance to employees by responding to questions regarding payroll, taxes, direct deposits, medical and other deductions.
• Respond to inquiries from external organizations requesting verification of employment for employees being considered for loans, employment, or payroll garnishment.
• Generate the Payroll report after each payroll for each entity with accurate labor costs for each department using excel.
• Review and audit payroll data entry for accuracy including auditing time sheets to verify accurate time worked and site managers approval.
• Index and scan all payroll documentation for archives. Ensure all payroll data is current and available upon request.
• Reconciliation of employee housing allowance and form 941 as prepared by Paycom. Annual payroll reconciliation and the various payroll deductions to employees.
• Responsible for all off cycle payroll: manual paycheck, catch-up pay, year-end reconciliations for PTO, 401K, Gross Pay, Sick leave, Medical deduction and preparation of W-2’s and year-end adjustment.

Essential Skills

• Knowledge and ability to use automated A/P software.
• Take ownership on the duty and deliver the result.
• Being able to analyze the situation, research history data, come up with solution and deliver the result on time.
• Being able to track down the task to achieve the result.

Education & Experience:

College graduate with accounting or data analysis degree

Strong experience with full cycle AP and payroll for at least 5 years

Experience with accounting software for at least 5 years

Job Type: Full-time

Pay: $28.00 - $33.09 per hour
